i-Manage Compliance facilitates various modules that you can work from
Persons Module: The backbone of the system, enabling you to import all employees with their respective employment types, roles en responsibilities. The system will track compliance to each individual that may vary from copies of ID’s, employment contracts, legal appointments, and training needs. A full digital record of employee and record of employment will exist. You can even add confidential documents to the profile such as disciplinary hearings as well as medical health checks. No need for hundreds of printed documents anymore.
Incident Investigations (Recalls, Spillage, Injuries etc.): Create several incident types e.g., spillage, recall, mock recall, workplace injuries and so much more. There is link required steps to take if an incident occurs. The incident module allows you to log an incident then track the steps to ensure all steps is followed and required evidence is collected for each step. Action items can be issued to any employee with a dashboard view for outstanding and completed action items.
Risk Assessment Module :Workplace risk-assessments have been a key feature for many private standards, forcing the business to undertake topic specific risk assessment and manage the site based on identified risks. I-Manage Compliance allows you to either develop the risk assessment on i-Manage or import a hard copy of your version which is the document controlled.
Document Control and Document Library: Transforming your documents (policies, procedures, registers, management plans) into digital documents / records that can easily be monitored, tracked, and reviewed. No more duplicates, old copies or versions that is in operation. Digital approval and review process. Automatic version control and history of document changes. ‘Master list’ auto-updated
Legal Library & Legal Register: Build a legal register with applicable legislation and standards. Link compliance criteria to action points if needed.
Appointments: ‘Create’ appointments based on business rules and the system will monitor actual appointments – linked to persons and linked to training requirements. There is dashboard reporting on outstanding appointments.
Training and Competency Requirements: Create training based on business rules. Link training requirements to roles and appointments. The business will then report on outstanding training and future reporting is available to indicate expired training or training that will expire in any given period. Training reports will require attendance registers is in-house. Profiles will update with every training that they have completed.
Policies and Procedures & Communication sessions: Use workflows to communicate policies and procedures to groups of staff. Keep record of these communication sessions as proof of communication to selected staff about the respective policies and procedures.
Committees Module: Create the different committees applicable to your business. Set up cycles (frequency) of meetings. Create, Upload track Agenda and Minutes of meetings.
Realtime reporting & Interactive Dashboard: The dashboard with a ‘click through’ function supports the managers and owners. It identifies real-time areas of non-compliance through a dashboard of graphs – and the most critical areas of management responsibilities is summarized here. You will immediately know areas that are at risk, and actions taken to address these risks. No more stress about ‘continuous improvement’ – we changed it to real-time improvement.
PPE Module: Issue, track and monitor PPE within your organization. PPE requirements can be linked to roles and people.
Audits Module: Develop ‘audit checklists’ that can be used for internal audit purposes with actions that can be monitored and issues to the responsible people.
Email notifications & reminders: As part of the workflow rules, notification and reminders will support your management functions. It is on-demand. You will not be spammed by reminders by default.
Toolbox Talks: Develop, Load, and schedule your toolbox-talks and induction programs. Link to various people and track every employee progress as well as records with regards to in-house training. You will be able to print populated attendance registers based on employees that will attend the training, and system will track the ‘upload’ of evidence to proof the training was completed and successful.
Action & Corrective actions module: You can create an action for almost any given function or activity in the system, assign to responsible persons and track the corrective action process in one place / dashboard.
